Refund & Cancellation

Ultimate Choice Publishing LLC

Effective Date: October 27, 2026

Last Updated: October 27, 2026

1. Introduction

At Ultimate Choice Publishing LLC, we are committed to delivering professional publishing services while maintaining fairness, transparency, and clear communication in our business relationships.

We understand that publishing projects involve financial commitments, creative decisions, and specific expectations. We also recognize that circumstances may change, requiring clients to cancel services, request modifications, or seek refunds.

This Refund and Cancellation Policy explains the conditions under which payments may be refunded, how cancellation requests are handled, and the responsibilities of both Ultimate Choice Publishing LLC and its clients.

Our objective is to establish reasonable procedures that protect clients while recognizing the time, professional expertise, resources, and production work invested in each publishing project.

This policy applies to purchases made through our website and services commissioned through approved quotations, invoices, or written agreements.

Nothing in this policy excludes or limits consumer rights or legal remedies that cannot lawfully be waived.

2. Scope of This Policy

This policy applies to publishing and related services offered by Ultimate Choice Publishing LLC, including:

  • Ghostwriting and manuscript development.
  • Developmental editing, copyediting, and proofreading.
  • Book formatting and interior design.
  • Paperback and hardcover preparation.
  • eBook and EPUB formatting.
  • Book cover design and illustration.
  • Children’s book illustration.
  • Amazon KDP publishing support.
  • IngramSpark publishing and distribution assistance.
  • Book marketing and promotional services.
  • Amazon advertising management.
  • Author website design and branding.
  • Audiobook production and publishing assistance.
  • Other creative, editorial, or digital services agreed upon in writing.

Where an individual service has additional cancellation or refund conditions, those conditions will be communicated before purchase through the service description, quotation, or project agreement.

Any additional terms must remain consistent with applicable law.

3. General Refund Principles

Refund requests are assessed according to the nature of the purchased service, the applicable agreement, the stage of project completion, and the circumstances surrounding the request.

In determining an appropriate refund, we may consider:

  • Whether the project has commenced.
  • The amount of work completed.
  • The services already delivered.
  • The payments received.
  • Expenses reasonably incurred for the project.
  • Whether the client approved the work.
  • Whether the agreed services were performed correctly.
  • Whether the project was cancelled by the client or the Company.
  • Any applicable statutory cancellation or refund rights.

A request for cancellation does not automatically result in forfeiture of all payments.

Similarly, payment for a service does not automatically entitle a client to a full refund after substantial work has been properly completed.

Each request will be reviewed fairly and in accordance with the applicable agreement and governing law.

4. Cancellation Before Work Begins

Clients may request cancellation before substantive work on their project has commenced.

Where a project is cancelled before work begins, the client will generally be eligible for a refund of the amount paid, less any reasonable, properly disclosed, and legally permissible charges or expenses already incurred.

Such expenses must be directly related to the project and supported by the applicable agreement.

Where no chargeable work has been performed and no lawful deductions apply, the client will receive a full refund.

Clients should submit cancellation requests promptly through our official communication channels.

5. Cancellation After Work Has Commenced

Once work has begun, refund eligibility will depend on the services already performed and the terms of the accepted agreement.

Where legally permitted, Ultimate Choice Publishing LLC may retain payment for work properly completed before receiving a valid cancellation request.

Any remaining refundable amount will be calculated after assessing the completed work, authorized project expenses, and applicable contractual provisions.

For example, if a client commissions a book editing project but cancels after an agreed portion of the manuscript has been edited, the completed work may be charged according to the relevant agreement.

We will not automatically treat an entire project fee as earned solely because work has commenced.

Where possible, we will provide a reasonable explanation of the refund calculation.

6. Deposits and Initial Payments

Certain publishing projects may require a deposit or initial payment before work begins.

Deposits may be used to reserve production time, undertake project preparation, or commence agreed services.

The applicable deposit amount, purpose, and payment conditions will be disclosed before purchase.

Deposits are not automatically nonrefundable.

Where a project is cancelled, any deduction from a deposit must be supported by the applicable agreement, the circumstances of the cancellation, and relevant law.

Where the amount paid exceeds properly chargeable work and expenses, the remaining refundable balance will be returned to the client.

7. Installment and Milestone Payments

Some custom projects may be divided into stages with corresponding payment milestones.

These may include initial planning, manuscript development, design, production, revisions, and final delivery.

Where milestone payments are used, the applicable quotation or project agreement will identify the payment schedule and the work associated with each stage.

If a project is cancelled, completed stages may remain payable according to the agreement.

Payments for unperformed stages will be reviewed for refund eligibility.

Any outstanding payment obligations will be assessed according to the services performed, agreed expenses, and applicable law.

8. Ghostwriting and Manuscript Development Refunds

Ghostwriting is a customized creative service that may involve research, planning, outlining, drafting, revisions, and manuscript development.

Because the work is prepared around the client’s individual instructions, refund eligibility depends on the stage of completion.

Where a ghostwriting project is cancelled before work begins, Section 4 of this policy applies.

Where work has commenced, the Company may charge for properly completed writing, research, and planning within the agreed scope.

For projects divided into milestones, refund calculations will ordinarily consider the completed and uncompleted stages.

If the delivered work materially fails to meet the agreed specifications, the client should notify us and provide sufficient information for review.

Depending on the circumstances and applicable law, an appropriate remedy may include correction, revision, partial refund, or another legally required remedy.

9. Editing and Proofreading Refunds

Editing and proofreading services involve professional review and correction of submitted manuscripts.

Refund eligibility depends on the work performed and the service purchased.

Where editing has not commenced, clients may request cancellation in accordance with Section 4.

If editing has partially progressed, payment may be retained for the properly completed portion, subject to the agreed terms and applicable law.

If the completed editing or proofreading service materially falls short of the agreed scope or required standard, clients should contact us with specific concerns.

We will review the issues and determine an appropriate remedy.

A difference in personal writing preference does not automatically constitute defective editorial work, although concerns about meaning, clarity, consistency, or agreed editing requirements will be considered.

10. Book Formatting and Interior Design Refunds

Book formatting services involve preparing manuscript layouts for print or digital publication.

These services may include typography, chapter arrangement, margins, page numbering, image placement, interior design, and preparation of publication files.

If a formatting project is cancelled before work begins, the client may qualify for a refund under Section 4.

Where work has already been performed, any refund will account for the completed portion.

If the delivered files contain errors attributable to our work or fail to meet agreed technical specifications, we will review the reported issues.

Where appropriate, we may offer corrections, replacement files, partial refunds, or other remedies required by law.

Changes resulting from new client instructions, additional content, or changes to publishing specifications after approval may require a separate quotation.

11. Book Cover Design and Illustration Refunds

Book cover design and illustration services are created according to project-specific instructions and visual requirements.

These services may involve concept development, artwork preparation, image licensing, illustration, typography, and revision work.

Cancellation before work begins will be handled under the general cancellation provisions.

Where initial concepts, illustrations, or other design work have already been produced, the refund assessment may account for the work completed and authorized expenses incurred.

If the delivered work materially fails to satisfy the agreed requirements, clients should submit their concerns for review.

We will assess whether correction, revision, replacement, or a refund is appropriate.

Requests for entirely new concepts or substantial changes outside the original brief may be treated as additional work.

12. Amazon KDP and IngramSpark Publishing Services

Our publishing support services may include manuscript preparation, file review, metadata assistance, and guidance with uploading books to supported publishing platforms.

Refunds will be assessed according to the assistance actually provided and the agreed service scope.

We do not guarantee acceptance, approval, distribution, or continued availability of any book on Amazon KDP, IngramSpark, or another third-party publishing platform.

A platform’s independent rejection or decision does not automatically establish a right to refund where the agreed services were properly performed.

However, if a rejection or publishing problem results from an error in our work or failure to meet agreed requirements, we will assess our responsibility and the appropriate remedy.

Any mandatory legal rights remain unaffected.

13. eBook and EPUB Formatting Refunds

Digital formatting services involve preparing files for supported eBook platforms and reading devices.

Because eBooks may use reflowable or fixed-layout formats, the technical specifications will depend on the service selected.

Refund eligibility will be assessed according to work completed and the agreed requirements.

Where a digital file contains formatting defects attributable to our work, we may provide corrections or replacement files.

Where corrections do not adequately resolve a material service failure, an appropriate refund or other remedy may be available.

Refund eligibility will not be excluded solely because a digital file has been delivered.

14. Audiobook Services Refunds

Audiobook-related services may involve narration coordination, audio editing, production assistance, quality review, and file preparation.

Where audiobook production has not commenced, cancellation will be handled under the general policy.

Once recording, editing, or other production work has begun, any refund calculation may account for completed work and authorized third-party expenses.

Additional arrangements may apply where independent narrators, studios, or production providers are engaged.

These arrangements must be disclosed where relevant.

If a completed audiobook service materially fails to meet agreed requirements, the client may request review and an appropriate remedy.

15. Author Website Design and Branding Refunds

Website design and author branding services may involve planning, wireframes, design concepts, development, branding materials, and technical configuration.

Refund eligibility depends on the stage of the project and the work completed.

Where a project is cancelled before substantive work begins, the general cancellation provisions apply.

After development has commenced, any refund calculation may reflect completed design, development, and other agreed services.

Fees paid directly to independent hosting companies, domain registrars, or software providers may be governed by those providers’ own refund terms.

Where website work materially fails to meet the agreed specifications, we will review the issue and determine an appropriate remedy.

16. Book Marketing Services Refunds

Book marketing services may include promotional planning, campaign preparation, marketing materials, and other agreed activities.

Where a client cancels before work begins, the general cancellation provisions apply.

Where marketing services have commenced, the amount chargeable will depend on the work properly performed and authorized expenses.

Book sales, rankings, readership, and commercial performance are influenced by factors outside our control.

A campaign’s failure to achieve a client’s hoped-for sales results does not, by itself, establish that the agreed marketing service was defective.

However, clients may seek an appropriate remedy where the Company fails to perform services expressly agreed upon.

17. Amazon Advertising Management Refunds

Amazon Ads management may include campaign planning, setup, monitoring, reporting, and adjustments.

The Company’s management fees and any advertising expenditure charged by Amazon or another advertising provider are separate unless expressly stated otherwise.

Refunds of management fees will be assessed according to the services performed and the agreed billing arrangement.

Advertising expenditure already charged by a third-party platform may be governed by that platform’s policies.

Where an advertising campaign is cancelled, we will take reasonable steps within our control to stop further authorized campaign activity, subject to platform processing and contractual requirements.

We do not guarantee advertising profitability, book sales, conversion rates, or a particular return on advertising expenditure.

18. Revisions and Corrections

Certain services include revision opportunities as part of the agreed package.

The number of revisions, submission requirements, and review period will be stated in the applicable service description or project agreement.

Where the work contains errors attributable to our performance or does not meet the agreed specifications, clients should notify us promptly.

We will review the issue and determine whether correction, additional revision, replacement work, a refund, or another remedy is appropriate.

Included revisions do not automatically cover substantial changes to the original project scope.

However, the availability of a revision process does not remove any statutory right to a refund or other remedy.

19. Client Approval and Completed Projects

Clients may be asked to review and approve project materials before final delivery.

Approval may confirm that the submitted work meets the agreed requirements to the extent reasonably apparent during review.

However, final approval does not automatically eliminate rights relating to defects, misrepresentation, or other matters protected by applicable law.

Where a client requests significant changes after approving work that was properly completed, additional charges may apply.

Such charges will be explained and agreed upon before further paid work begins.

20. Project Delays

Project delivery times may depend on manuscript complexity, production requirements, revision requests, and client communication.

Where a delay arises from missing information, late client responses, or changes requested by the client, the parties may agree to a revised schedule.

If Ultimate Choice Publishing LLC fails to meet a material contractual deadline, the client may request an appropriate remedy under the agreement and applicable law.

Depending on the circumstances, this may include a revised deadline, cancellation, or refund.

Where a deadline is essential to a client’s project, it should be clearly identified and accepted in writing before work begins.

21. Cancellation by Ultimate Choice Publishing LLC

We may cancel a project where legally justified, including circumstances involving unlawful content, serious contractual breaches, unavailable resources, or other substantial reasons preventing performance.

If we cancel a project, we will assess any payments received against work properly completed and lawful expenses.

Payments attributable to services that will not be performed will generally be refunded, subject to applicable legal requirements.

Where cancellation results from our inability to provide the agreed service, we will not impose charges for work that was not performed.

22. Cancellation Due to Client Inactivity

Some projects require regular feedback, manuscript submissions, approvals, or other client participation.

Where a project cannot proceed because required client information has not been provided, we may contact the client to request the outstanding materials.

If the matter remains unresolved, the project may be paused or cancelled according to the relevant agreement.

Any applicable inactivity period, notice procedure, and consequences should be disclosed in advance.

Client inactivity does not automatically result in forfeiture of all payments.

Refund eligibility will be assessed according to the work completed, lawful charges, and applicable consumer rights.

23. Third-Party Costs and Nonrecoverable Expenses

Certain projects may require authorized purchases from independent providers.

Examples may include:

  • Stock images or other licensed creative assets.
  • Specialist fonts or software.
  • Domain registrations.
  • Website hosting services.
  • Third-party narration or production services.
  • Advertising expenditure.
  • Other expressly approved project expenses.

Refunds of these charges may depend on the relevant provider’s refund conditions.

Where we seek to deduct a nonrecoverable expense from a client’s refund, the expense must be properly attributable to the project and legally chargeable under the relevant agreement.

To help us review the request, please provide:

Subject: Refund or Cancellation Request

Clients do not need to disclose sensitive banking passwords or complete payment card details when making a refund request.

25. Review of Refund Requests

Upon receiving a refund request, we will review the relevant order information, project agreement, payment records, completed work, and stated concerns.

We may request additional information where reasonably necessary to assess the request.

Our review will consider the relevant contractual provisions and applicable consumer protection laws.

Where a refund is approved, we will communicate the amount, intended payment method, and any relevant processing information.

Where a refund is declined in whole or in part, we will provide a reasonable explanation of the decision.

Clients retain any applicable right to challenge the decision or pursue legally available remedies.

26. Refund Processing

Approved refunds will ordinarily be issued through the original payment method where technically possible and appropriate.

Where the original payment method cannot receive the refund, an alternative method may be arranged with appropriate verification.

The time required for funds to appear may depend on the payment processor, financial institution, currency, and country involved.

Refunds will be processed within the period required by applicable law and any shorter timeframe expressly agreed upon.

Any lawful deductions or fees will be disclosed where required.

27. International Payments and Currency Conversion

Ultimate Choice Publishing LLC may provide services to clients in different countries.

International payments may involve currency conversion, bank charges, or independent payment processing fees.

Where a refund is issued in a different currency or through a different payment channel, the amount received may be affected by exchange rates and third-party charges.

Any treatment of such charges will be subject to the relevant payment terms and applicable law.

We do not guarantee that exchange rates will remain unchanged between the original payment date and the refund date.

28. Payment Disputes and Chargebacks

If a client believes a charge is incorrect, unauthorized, or inconsistent with the agreed services, they may contact us for review.

We encourage clients to provide relevant information so the issue can be investigated.

Clients retain their lawful rights to dispute transactions through their bank, payment processor, or other authorized payment service.

Where a chargeback or payment dispute occurs, we may provide relevant transaction records and service documentation to the payment provider.

We will not penalize clients solely for exercising a lawful dispute right.

Any suspension of further services during a material payment dispute will remain subject to applicable law and contractual obligations.

29. Consumer Protection and Statutory Rights

This policy is intended to operate consistently with applicable consumer protection laws.

Certain clients may have statutory cancellation, withdrawal, refund, repair, repeat-performance, or other rights depending on their location and the nature of the purchased service.

For example, some jurisdictions provide withdrawal rights for online service contracts, subject to applicable exceptions and conditions.

Where required, we will obtain appropriate consent before beginning a service during a statutory withdrawal period.

Nothing in this policy excludes or restricts rights or remedies that cannot lawfully be excluded or restricted.

Where a provision conflicts with mandatory consumer protection law, the applicable law will prevail.

30. Changes to This Policy

Ultimate Choice Publishing LLC may update this Refund and Cancellation Policy to reflect changes in our services, business practices, payment arrangements, or applicable legal requirements.

Updated versions will be published on this page with a revised effective date.

Unless required by law or validly agreed otherwise, changes will not retroactively alter the refund conditions governing purchases made before the updated policy took effect.
